IT for a head office relocation

We planned, sourced, installed and tested the IT for Southpac Constructions’ head office relocation alongside the fit-out programme. When staff arrived, their workstations, phones and meeting rooms were ready to use.

The brief

It had to work the morning the team walked in

Southpac needed the connectivity, network, phones, meeting rooms, endpoints and server working when staff arrived at the new premises. Carrier lead times and equipment deliveries had to fit the fit-out programme, and the company’s construction work carried on throughout the move.

Our part ran as one stream of the fit-out programme. We gave the fit-out team the cabling and comms-room requirements early, sourced the technology for the new premises and used the move to set the new office up on a clean, standard design.

How the move was planned

The whole job planned backwards from the move date

Each piece was sequenced against the fit-out programme and tested before the team arrived. The move weekend held only the steps that had to happen then.

  1. Current office Systems and people in the old premises
  2. Scope and lead times Cabling, comms room, carrier and supply timing set against the fit-out programme
  3. New premises Cabling, switching, Wi-Fi, firewall and internet installed and tested
  4. People and devices Telephony, meeting-room AV and endpoints set up and checked
  5. Move weekend Server moved over the weekend, team at work on Monday

What the move covered

What we put in place before the team arrived

  • The cabling and comms room, specified early

We gave the fit-out team the cabling and comms-room requirements early enough to build into the programme, which avoided late changes to the building work and kept the technology installation on schedule.

  • Carrier services ordered well ahead

The carrier services for the new premises were ordered early and tracked against the fit-out programme. The connection was live and tested well before the move.

  • A clean, standard network

The switching, Wi-Fi and firewall went into the new premises on our standard design, installed and tested before anyone moved in. Systems came up on a network that had already been proven, and it is simpler to support.

  • Phones and meeting rooms checked room by room

The phones and meeting-room technology were set up and checked room by room before the team arrived. Calls and meetings worked from the start.

  • The server move and the Monday after

The server moved over the move weekend, the endpoints were prepared for the new desks, and our engineers were on the floor as the team arrived.

A new head office that was ready when the team walked in

Southpac Constructions moved its head office without losing a working day, with the IT planned, sourced and installed as part of the fit-out programme.

Working from the first morning

Desks, phones, meeting rooms and systems were tested before anyone arrived.

A cleaner environment

The move left the new office on a simpler, standardised setup that is easier to support.

Straight into day‑to‑day support

The new premises moved into our managed services without a separate handover.
