How to switch your managed IT provider

To change your managed IT provider, check your contract and notice period, secure administrator access and documentation, verify your backups, then move services across in stages before the outgoing provider’s access is removed.

Whether you are replacing an underperforming MSP or moving at renewal, Inlight IT runs the transition for you. Most moves are complete within four to six weeks. We coordinate the outgoing provider and your other suppliers, so your staff keep working while responsibility changes hands.

The move to Inlight IT

Steps to change your managed IT provider

We run the move and coordinate the outgoing provider and your other suppliers, with notice dates, access and business dependencies checked before the handover date is set.

The work is sequenced around access, supplier dependencies and continuity of service.

Before you decide

When to change your managed IT provider

A new site, a growing team or a major systems project can change what you need from IT. You may also want a different provider because recurring faults remain unresolved, supplier issues keep returning to your staff, or planned improvements struggle to progress.

Write down what needs to improve and what is working well. Check whether the gap sits in the service being delivered, the scope you bought or a decision still waiting on the business. That gives you a useful brief for the next provider.

Buyer’s guide

How to choose a managed IT provider

Ask who will investigate a problem that crosses Microsoft 365, the network and a business application. Find out how senior engineers become involved, who coordinates the vendors and who keeps you informed through to resolution.

Ask to see a service report and the documentation produced during onboarding. Discuss how the provider investigates recurring faults, verifies recovery and plans replacement of ageing systems. Their answers should make the work and its ownership clear.

Moving from reactive fixes to managed IT

Reactive support deals with incidents as they arise. Managed IT adds ongoing responsibility for monitoring, maintenance, security, documentation, recovery and technology planning. When comparing proposals, identify which of those responsibilities the provider will carry and which stay with your team.

Planning for growth and additional sites

Discuss the changes ahead, including new locations, acquisitions, hiring, cloud applications and insurer or customer requirements. Ask how the provider will maintain device and access standards, coordinate connectivity lead times and sequence infrastructure upgrades around the business.

Where you have an internal IT team, co-managed IT gives you a way to add specialist capability while retaining internal leadership.

Before you sign

Review the proposal and keep control of your IT

Use this checklist to review a proposal or service agreement and avoid vendor lock-in.

01 Service scope and accountability List the systems and workloads covered, including the service desk, Microsoft 365, devices, networks, cloud, servers, backup and security. Make onboarding, project work and exclusions explicit. Confirm service hours, incident priorities, response and resolution commitments, escalation, reporting and remedies. Name the roles responsible for delivery and technical decisions.
02 Tenant ownership and administrative access Confirm your business controls its Microsoft 365 tenant, domain registration and emergency administrator access. Record the ownership and billing arrangements for cloud subscriptions. Provider permissions should be granted separately, limited to the work required and removable when the relationship ends.
03 Documentation and usable exports Specify the customer records you will receive, including asset and licence registers, network diagrams, configuration and certificate records, application dependencies, operating instructions and supplier contacts. Agree the export formats and delivery dates. For automation, scripts and provider tools, record what can be exported and your rights to use it after the service ends.
04 Backup and recovery evidence Define the workloads protected, retention, storage location, recovery priorities and who can authorise a restore. For Microsoft 365, name the services being protected, such as Exchange Online, SharePoint and OneDrive. Ask for evidence of a completed restore and what was recovered. Confirm how retained backups remain accessible during a provider change, including any licences or export charges needed to recover from them.
05 Security responsibilities and records Agree who manages privileged access, patching, endpoint protection and security alerts. Record incident notification times, investigation responsibilities, log retention and how your business obtains relevant records. The same questions apply to information held in the provider’s own management tools.
06 Renewals and the cost of leaving Check renewal dates, notice requirements, price changes, remaining licence commitments and offboarding charges. Include platform data export or egress costs. Microsoft licensing commitments and support contracts can end on different dates, so plan the commercial and technical changes together.
07 A defined handover Agree the transition deliverables and dates, the assistance available and how it is charged. Cover credentials, tenant and subscription records, domains and DNS, backup records and restore evidence, configurations, open incidents and unfinished projects. Define when access is removed and how retained customer data is returned or deleted.

For licensing and platform decisions, see Microsoft 365 licence optimisation and renewals and Technology Procurement.

Why Inlight IT

How the service runs after the move

  1. 01

Support extends beyond the service desk

Microsoft 365, cloud, infrastructure, networking, cybersecurity, backup and project delivery are all in-house, so a complex issue reaches a specialist in that area without being passed to another provider.

  2. 02

    Microsoft 365 and Copilot capability

We manage the Microsoft environment you already rely on and implement and administer Copilot within it, including the identity, permissions, security and information controls around its use.

  3. 03

Security runs inside the day-to-day service

Identity, endpoints, Microsoft 365 security, backup, monitoring and data protection are managed as part of our IT services.

  4. 04

    Advanced tooling in everyday operations

Our service desk runs inside Microsoft Teams, and AI works across triage and monitoring, so issues are picked up early and handled faster. Your support portal, dashboards and live reports show what's happening across your IT, and we use them to agree priorities with you.

  5. 05

    Accountability across vendors and technology

When a problem involves Microsoft, a carrier or another vendor, we take it through to resolution, so you're not left working out whose fault it is.

  6. 06

    Long-term relationships, built through referral

Many clients have worked with us for five years or more. New clients often come through their introductions.

FAQ

Common questions about changing provider

Should we choose a new provider before giving notice?

Review the notice requirements, access position and proposed handover first. The incoming provider needs enough information to plan the takeover, and the notice period needs to allow for that work. We help establish the sequence before you commit to a service change date.

How long does an MSP transition take?

Most transitions to Inlight IT are complete within four to six weeks. Where your current agreement allows, we can start straight away, and if you are still under contract we can complete the review and transition plan before your notice period ends. The exact schedule depends on your notice period, the systems involved and the documentation handed over, and we confirm it after the initial review.

Will replacing our MSP interrupt our staff?

We plan user communications, system changes and any maintenance windows around your operations. Users receive clear instructions on where to get help. Changes that could affect access or applications are scheduled and tested as part of the transition.

Do we need to move our Microsoft 365 tenant?

We can take over day-to-day management within your existing Microsoft 365 tenant. Licensing transfers are a separate step, with partner approvals and subscription terms to check. We assess any Azure subscription or billing changes separately and explain the work involved before proceeding.

What happens if documentation is incomplete?

We identify the missing records, validate the access available and agree what needs to be reconstructed. The additional discovery work goes into the transition scope and schedule so you can see its effect on timing and cost.

What does switching managed IT provider cost?

The proposal should distinguish onboarding and transition work, ongoing service fees, licensing and any remediation projects. We review those costs alongside the outgoing provider’s charges and remaining commitments.

Our Managed IT cost calculator provides an indicative ongoing service estimate.
